What we collect

  • Operational care data (where relevant) provided by placing authorities in connection with placements.

We collect data directly from you, and from placing authorities or referees during recruitment and placements.

How long we keep data

  • Enquiry messages: up to 24 months.
  • Job applications (unsuccessful): up to 12 months.
  • Successful recruitment records: retained in line with employment law.
  • Placement/operational records: retained in line with children’s social care regulations.
  • Server logs/security data: up to 12 months unless needed for investigation.

Sharing & processors

We share data only when necessary:

  • Service providers (data processors) such as web hosting, email/SMPP (secure SMTP), and IT support.
  • Placing authorities and relevant professionals for referral/placement purposes.
  • Legal & safeguarding – where required by law or to protect vital interests.

Our processors are bound by contracts and process data only on our instructions.

International data transfers

We aim to keep personal data in the UK/EEA. If a transfer outside the UK/EEA is necessary, we will use appropriate safeguards (e.g., UK IDTA or EU SCCs) to protect your information.

How we keep data secure

  • Encryption in transit (HTTPS/TLS) and secure SMTP for email.

Children’s data

We provide residential care for children and young people aged 8–17. Where we process children’s personal data, this is coordinated with placing authorities and in line with safeguarding and regulatory requirements.
